The treatment decision is one of the final steps in the pre-admission process. During this step, your team decides whether the patient will be admitted to your facility or referred elsewhere. This guide walks through all treatment decision workflows in the CRM, including accepting, referring out, and readmitting patients.
Workflow 1: Accepting the Patient & Sending to the EMR
Once your facility has made the decision to accept the patient, use the following steps:
- Open the active Treatment Opportunity from the pipeline.
- Right-click on the patient's name and select Edit Treatment Opportunity.
- In the Decision section, set Facility Accepts to Yes.
Note: Some opportunity statuses may auto-update this field to Yes. - Additional fields will become available. Complete the following, as applicable:
- Who was contacted (prospect, alternate contact, or referent)

Planned/Actual Discharge To
- Decision Maker and who communicated the decision
- Decision Date will automatically populate the date that was entered in the system
- Complete the Estimated Admit Date and Estimated Discharge Date fields in the Decision area to use the Select a Bed field for a residential program setting.
- Note: Beds selected in the CRM are not fully reserved until the admit date is entered in the EMR. The CRM bed hold does not block bed use in EMR.
- Click Transfer to EMR.
- This will open the Transfer Module, allowing you to:
- Include documents uploaded to the Manage Files section like Attachments and Asssements.
- Select Assessments to send as Live Forms. These are sent to the KipuCRM tab of the patient chart.
- Choose an EMR process tab (optional). If not selected, attachments will appear in the EMR’s External Attachments Directory.
- Include documents uploaded to the Manage Files section like Attachments and Asssements.
- Once the patient is admitted in Kipu EMR (with an admission date and medical record number), the Treatment Opportunity status will auto-update to: Complete, Patient Admitted.
Important: If you do not have the Kipu EMR integration, you must manually update the Opportunity Status to Complete, Patient Admitted. This closes the opportunity, makes it inactive, and records the admit date in the CRM. This closes the opportunity and logs the admit date.
Workflow 2: Denial and/or Referring the Patient Out
If you've determined the patient is not the right fit for treatment at your organization, you can refer them to a more suitable facility or simply document that they will not be treated.
- Open the active treatment opportunity from the pipeline.
- Right-click on the patient's name and select Edit Treatment Opportunity.
- Change the patient’s opportunity status to reflect the state of the opportunity (e.g., Complete, Patient Not Accepted, Referred Out, Dropped from Process, Declined, See Decision, or Complete, Patient No Show).
- The Facility Accepts field will automatically default to No and remove the treatment opportunity from the pipeline, making it inactive
- Additional fields in the decision area become available to record the reason for the decision and the referral source (if referring the client out).
Important: If the unqualified client is referred to a more suitable treatment facility, include the referral source where you are referring the client in the Referred To field in the Decision area, since this information will appear in reports.
