How to Create a CRM User

The CRM will allow you to create new users as needed within the CRM. 

Important: Only Superusers can create new users.

Important: There is a 10-minute cache for changes made to the Employee Area tags.

Creating New User

Please follow the step-by-step instructions below to create a new user.

  1. Navigate to Admin > Security > Manage Users.

Information Tab

Important: Changes to a user's Security Role will take up to an hour to take affect.

While all the fields in the Information tab are useful in adding greater specificity to the user's account and can be filled out as desired, the following are required.

  • Name: Enter your staff member's full name.
  • Email: Enter the email address that your staff member will use to log in to the Kipu CRM.
  • Security Role: Select the appropriate security group for the staff member from the drop-down list (See table below).
  • Employee Type: Select the employee type that most closely matches the role of the individual in your organization.
  • Allow Grid Export: If toggled to Yes, the user will be able to export any of the grids available in the KipuCRM. Please note: This permission should only be provided to trusted users within the organization)

  • Receives Documentation: If toggled to Yes, the specified user will be subscribed to receive the KipuCRM release notes whenever a new update has been deployed to the system.

     

     

Security Roles 

The following security roles are available for selection:

Super User

For facility staff members who need to add and manage facilities, locations, and users in addition to all other functions of the software.

Business Development Functions Only

Referral Network, Campaigns & Marketing Only, does not include any patient, or VOB functions.

Business Development w/Reports

Referral Network, Campaigns & Marketing Only, does not include any patient, or VOB functions but does include related reports.

Referral Source Management Plus

Access to referral Sources with edit permissions. Access to reports.

Referral Source Management

Access to Referral Source with Edit permissions

Combined Admissions and Business Development

Used for staff handling admissions, referral network management, marketing, and the like. Includes reports and VOB processing capabilities.

VOB Worker

Access to VOB Queue Only

Admissions Worker with Reports

Access to all patient data, Instant VOB, Quick VOB; VOB Open/Closed Views, No Access to VOB Work Queue.

Admissions and VOB worker with Reports

Access to all patient data, Instant VOB, Quick VOB; VOB Open/Closed Views, Access to VOB Work Queue

Alumni/Aftercare Worker

Access to patient functions only

Analytics Only

Access to Reports Only

Notifications & Settings

Once the Information section has been filled out, complete the Notifications & Settings section of the user profile. Once you have completed the required sections in the Information portion of the user profile, please remember to click Save Changes to add the new user to the Kipu CRM.

Employee Areas

Select the area that corresponds to the user's day-to-day responsibilities at your organization. The only employee tags that serve a purpose in the system are as follows:

  • Alumni Coordinator: This tag prompts the system to display the specified user as an available option for Alumni Coordinator.
  • Assigned Agent: This tag prompts the system to display the specified user as an available option for the Assigned Agent.
  • Care Coordinator: This tag prompts the system to display the specified user as an available option for Care Coordinator.
  • Relationship Manager: This tag triggers the user to become available within the relationship manager drop-down lists. This applies to primary and secondary relationship manager options on both RS and RS contact levels.

BI Analytics Groups

Use this field to assign access to the different Kipu BI areas within the Kipu CRM.

Teams

Use this field to add the specific user to any of the available teams in the CRM tenant. Please note, the user will be added as a team member.

Access to Facilities

Use this field to grant the user access to the appropriate facilities in the Kipu CRM.

Note: The user must have facility access in order to manage patient records in the system.

Email Notification

Allows the user to receive an email notification once a specific stage is triggered.

 

System Notifications

Use this field to subscribe the user to any in-app notification subscriptions.

Toastr Notifications

Use this field to subscribe the user to any of our available toastr pop up notification subscriptions.

Note: This notification type will no longer be updated moving forward.

Sending Invitation

Once the user profile has been created, the Super User must manually send the invitation message.

Locate the new user in your grid, then right-click the user record and click Send Invite.

Terminating Users

When a user is no longer with your organization, you can terminate the users' account to prevent them from logging in. Click here for instructions.
