The Kipu CRM offers email notification subscriptions tied to specific actions that occur in the system to support organizational workflows further.
Important: Anyone with a user profile in the CRM can receive Email Notifications. A super user must grant access based on the responsibility of each user.
Required Permissions
It is not mandatory for a user to be subscribed to any email notifications. It is designed to improve workflow efficiency.

🧾 Admissions & Opportunity Notifications
- Alumni Follow-up Notification: Users will be notified when an Alumni follow-up date is due.
- Kipu EMR Admissions: Users will be notified upon the system receiving an Actual Admission Date, MR #, and Admit Location for any given patient record in the system
- New Treatment Episode: Users will be notified when a new treatment opportunity has been created in the system.
- Opportunity Status Change: Users will be notified when a treatment opportunity status has changed within the system.
- Assessment Completed: Users will be notified when a treatment opportunity status is set to Assessment Completed.
- Clinical Decision Notification: Users will be notified when a treatment opportunity status is set to sent for clinical decision.
- Needs Clinical Pre-Screening: Users will be notified when a treatment opportunity status is set to needs clinical pre-screening.
- Notify When Opportunity is Completed: Users will be notified when the treatment opportunity status is set to a status with a “completed” attribute.
- Notify When Opportunity Pushed to EMR: Users will be notified when a treatment opportunity is transferred to the EMR.
- Opportunity Referred Through Changed: Users will be notified when a treatment opportunity referred through has been modified.
- Opportunity Sent for Clincially Approved: Users will be notified when a treatment opportunity status is set to Clinically Approved.
- Opportunity Status - VOB Approved: Users will be notified when a treatment opportunity status is set to VOB Approved.
- Opportunity Sent For Medical Decision: Users will be notified when a treatment opportunity status is set to Medically Approved.
- Prospect Status of in Process Verifying Insurance: Users will be notified when a treatment opportunity status is set to Verifying Insurance.
- Notice of Decision Acceptance: Users will be notified when the decision record on the treatment opportunity is filled out.
📋 Task Notifications
- New Assigned Task: Users will be notified when they have been assigned to a task
- Task Completed Notification: Users will be notified when a task is completed in the system. The notification will not trigger if the created by & user subscribed to the notification are the same.
- Task Due Notification: Users will be notified when a task they are assigned to, due date matches the current date.
📞 VOB Notifications
- VOB Phone Request: Users will be notified when a Phone VOB request is created in the system. The user who requested the phone VOB will be omitted from receiving the notification.
- VOB Closed or Delayed - All Users: Users will be notified when any Phone VOB request has been set to a closed status.
- VOB Closed or Delayed - Only Requestor: Users will be notified when a Phone VOB request, that they have requested, has been set to a closed status.
- VOB Delected Notification: Users will be notified when a Phone VOB request has been deleted. VOB 1.0 ONLY.
- Notify When Outside VOB Sent: Users will be notified when an Outside VOB request is recorded in the system.
- Notify When VOB Assigned: Users will be notified when they have been assigned to a Phone VOB request.
- Notify When VOB Needs Approval: Users will be notified when a Phone VOB request is set to Needs Approval status.
🤝 Referral Notifications
- Referral from Assigned Referral Source - Primary Only: Users will be notified when the primary referred through that is present on a treatment opportunity is tied to a referral source that they are set up as the Primary and/or Secondary Relationship Manager.
- Referral From Assigned Referral Source: All Relationship Managers users will be notified when the primary referred through present on a treatment opportunity is tied to a referral source that they are set up as either the Primary and/or Secondary Relationship Manager.
- Referral From Contact Form: Users will be notified when a treatment opportunity referred through is set to the Contact Form.
- Referral From Marketing Event Notification: Users will be notified when a treatment opportunity referred through is set to a marketing event that they are set as the primary event manager.
- Referral Source Creation: Users will be notified when a new referral source record is created in the system.
- Referral Source Referred Out: Users will be notified when an outbound referral is recorded in the system.
- Relationship Manager Referred Out: Users will be notified when an outbound referral is sent to a referral source that they are set up as either the Primary and/or Secondary Relationship Manager.
- Primary Relationship Manager Changed: Users will be notified when a Primary Relationship Manager is modified on a referral source record.
🧠 Miscellaneous Notifications
- Assigned Agent Changed: Users will be notified when a new patient record is created in the system with the subscribed user set as the Assigned Agent.
- Care Coordinator Change on Pre-Admission: Users will be notified when the care coordinator on a treatment opportunity has been changed.
- New Form Queue: Users will be notified when a new record has populated the form queue.
- New Payor Creation: Users will be notified when a new payor is added to their CRM tenant.
- New Prospect Created via Quick Entry: Users will be notified when a new record is created via the quick entry feature.
- Prospect Status of in Process Verifying Insurance: Users will be notified when a treatment opportunity status is set to Verifying Insurance.
- Receipt of Discharge Data from EMR: Users will be notified when a patient record has officially been discharged in the Kipu EMR upon receipt of the Actual Discharge Date information.
- Receives Insurance Type Other Email: Users will be notified when an insurance record set to a type of Other is added to a patient record in the system.
- Referral From Campaign Notification: Users will be notified when a treatment opportunity referred through is credited to a campaign.
