How do I link an EMR Chart to a CRM Patient Record / Treatment Opportunity?

There does not seem to be a connection between the client's EMR chart and CRM record.

Resolution

It is important to note that if an initial workflow was never initiated in the CRM to create a treatment opportunity—subsequently pushing that record to the EMR—then no connection between the CRM and EMR would have been established. To either establish a new connection or re-establish one that may have been severed, specific steps must be followed to properly reconcile the records.

Important:
Before proceeding with the steps below, please verify that the patient's information in both the Kipu CRM Patient Record and Kipu EMR Chart—including the name, social security number, and date of birth—match exactly. This is crucial to ensure that the treatment opportunity is correctly linked to the corresponding patient in the EMR.

  1. Using the Global Search Bar, use search and select the patient you would like to connect.
  2. Once in the patient record, navigate to the Treatment Opportunities section, and select +Add Treatment Opportunity.
  3. Within the Referred Through area, choose a Type* and Save Changes.
  4. From the Patient Information page, locate and reopen the Treatment Opportunity that was just created.
  5. Select Transfer to EMR.
  6. Select Queue Transfer to EMR.
  7. Go to the Kipu EMR, navigate to the upper right-hand corner to select the icon with user's initial to access drop-down menu. Choose Incoming.
  8. Locate the Client within the Incoming list and select Preview.
  9. From the Facesheet Preview, use the scrollbar if necessary to navigate to the Possible Readmit Area and select Readmit.
  10. Locate the Client once more from the list and click on their name to access their EMR Chart.
  11. From their chart, you will now see the Latest file added to their original one. Ensure you are on the Latest file.
  12. Select Edit Client.
  13. Enter an Admission Date and Create and MR#.
  14. Return to the Facesheet by selecting Show Facesheet at the top of the Chart.
  15. From the Facesheet page, choose the original file for which you need a link created by identifying the MR#.
  16. Once that chart opens, select Edit Client.
  17. Trigger a new opportunity to be created by adjusting the Admission Date* one minute forward or back.
  18. Return to client's Kipu CRM Patient Information page and you will now see a newly generated and connected treatment opportunity to reflect the original file.
  19. Return to the Kipu EMR and delete the latest chart. To do so ensure you have the Latest file open and select Edit Client.
  20. Within the editing page, scroll down to the bottom and select delete.
  21. Return to the client's Kipu CRM Patient Information page and refresh screen. Afterward, identify and open the treatment opportunity with Status of Deleted by EMR User-100% and open.
  22. Select Delete, followed by choosing Yes when prompted for Delete Confirmation
  23. There is now have a newly created Treatment Opportunity in the CRM that is connected to the EMR Chart. If there was an original treatment opportunity for that instance of care already created, admissions staff may consider migrating the information to the new connected opportunity followed by deleting the original.
