How Can I Email Files Attached To My Patient Records?

Issue

I need to email files associated with a Patient Record.

Environment

Kipu CRM, Roles: Super User, Combined (Admissions and BD), Admissions Worker, Patient/Prospect Records

Resolution

To email patient files directly from the Kipu CRM, you will need to access a Patient's Manage Files area in their Patient Record and choose a file to email. Please refer to the steps below for guidance.

  1. Using the Global Search Bar, enter a patient's name and select the result to open the record.
  2. Select the Manage Files button in the upper right-hand corner.
  3. From the Manage Files window, identify the desired file, and under Actions select the actions icon to access the menu.
  4. Choose Email File.
  5. To choose an existing user to email the file, click on the Select a User field to access the list of users.
  6. Choose a user from the list.
  7. The selected user will now appear in the Distribution List.
  8. Alternatively, you can create an external recipient by entering a Name and Email Address in the associated fields.
  9. Select Add.
  10. The new recipient will now appear in the Distribution List.
  11. Enter an Email Subject.
  12. Enter an Email Body.
  13. Select Send Email.

The file will be delivered via email directly from your Kipu CRM to the individuals on the distribution list. Recipients will receive two emails: one with the password for the encrypted file and another with the encrypted file attachment for review.

Important
If a Tenant SMTP is configured, the files will be delivered through your organization’s email server. This allows for increased deliverability and easy identification of relevant emails by individuals in your organization.
