Issue
I need to email files associated with a Patient Record.
Environment
Kipu CRM, Roles: Super User, Combined (Admissions and BD), Admissions Worker, Patient/Prospect Records
Resolution
To email patient files directly from the Kipu CRM, you will need to access a Patient's Manage Files area in their Patient Record and choose a file to email. Please refer to the steps below for guidance.
- Using the Global Search Bar, enter a patient's name and select the result to open the record.
- Select the Manage Files button in the upper right-hand corner.
- From the Manage Files window, identify the desired file, and under Actions select the actions icon to access the menu.
- Choose Email File.
- To choose an existing user to email the file, click on the Select a User field to access the list of users.
- Choose a user from the list.
- The selected user will now appear in the Distribution List.
- Alternatively, you can create an external recipient by entering a Name and Email Address in the associated fields.
- Select Add.
- The new recipient will now appear in the Distribution List.
- Enter an Email Subject.
- Enter an Email Body.
- Select Send Email.
The file will be delivered via email directly from your Kipu CRM to the individuals on the distribution list. Recipients will receive two emails: one with the password for the encrypted file and another with the encrypted file attachment for review.
Important
If a Tenant SMTP is configured, the files will be delivered through your organization’s email server. This allows for increased deliverability and easy identification of relevant emails by individuals in your organization.
