How to Create New Prospect/Patient Records

The CRM is designed to allow you to create and track potential clients through various stages of the admission process. This guide will walk you through the creation of new prospect records.

Creating a New Patient

Let's review how to create a new Prospect record. Note: Prospect Records can later be converted to patient records.

  1. Click  CRM dropdown > Admissions Management > Prospect/Patient Records.

  2. From this page, you can view all of the prospects/patients ever created within the CRM.

  3. Select New Record in the upper right-hand corner.

  4. Be sure to search for the patient's name prior to creating the patient file to avoid creating duplicates, as the patient may already be in the system from a previous inquiry. After verifying that there are no other files for that patient, click on the New Patient button to continue adding a new prospect.2022-08-03_11-32-17__1_.gif
  5. The Patient Status field should automatically be set to prospect, otherwise, update the status to as desired. Any record that is set as a prospect or lead is a placeholder for information collection until the client is ready to be admitted as a patient.2022-08-03_11-35-35.png
  6. Complete all required fields indicated by the asterisk (*) symbol. You will not be able to save your progress until those fields are completed.2022-08-03_11-24-37.png
  7. Once you've completed the required fields and added any other known details, click Save Changes to finalize the patient creation process.

Patient Search Parameters

The Kipu CRM global search feature allows users to search for patients based on the different data points present on the record. This feature ensures that admission coordinators can easily locate desired prospects within the system.

The Global Search Bar can retrieve patient record search results via the following data points present on the record:

  1. Patient Name
  2. Patient Classification
  3. Patient DOB
  4. Patient Tags
  5. Email Address
  6. Phone Number
  7. Patient Contacts
