How to Create Referral Sources

Referral Sources represent the business-to-business (B2B) relationships that an organization works with to obtain and send referrals within their relationship network. Common referral sources include addiction treatment facilities, attorneys, insurance payors, and medical professionals.

Requirements

The user must have the following security roles:

  • Admission Worker
  • Combined +
  • Combined (Admissions and B.D.)
  • Super User
  • Business Development
  • Referral Source Management
  • Referral Source Management Plus
  • Business Development Plus

Important: If a third-party biller manages you, it is possible you will not see these roles available for your tenant. Please contact support for more assistance.

Creating Referral Sources

To access the referral source grid, follow the steps below.

  3. Before creating a new Referral, it is advisable to search for your desired Referral Source to avoid creating duplicates. If the record doesn't exist, then select New Referral.

  4. Complete the referral source form. Organization name and organization type are required fields.

  5. Once you’ve filled in all of your details, select Save Changes.

Inactivating Referrals

  1. Adding an end date to the referral source will place that Referral Source in the inactive category from within the referral source grid.

  2. You can toggle the Active and Inactive sources from within the grid.

Referral Source Crosswalk

The Referral Source record displays an Admission Referrals crosswalk chart which users can reference for a quick update on the relationship status with that Referral Source. This area will display referral statistics broken down by In Process, Accepted, Rejected, Declined, and Outbound Referral.

Referral Source Search Parameters

The Kipu CRM global search feature allows users to search their referral source records by leveraging many of the data points present on the record. This feature ensures that Admission Coordinators have search parameters to leverage when looking to identify a quality outbound referral source candidate for a prospect.

The Global Search Bar can retrieve referral source record search results via the following data points present on the record:

    1. Organization Name
    2. Organization Type
    3. Referral Source Classification
    4. Email Address
    5. Types of Care Provided
    6. Genre of Cares
    7. Referral Source Tags
    8. In Network Insurances Accepted
    9. RS Address
    10. RS Phone Number
    11. RS Contacts
