CRM Bed Board Assignment

The CRM Bed Board is a live and interactive feature that can be used to manage room assignments in the CRM in correspondence with the EMR.

EMR Occupancy Requirements

Because of the nature of this feature, there are a number of elements which must be configured before you can use it in the CRM. The Occupancy feature, along with the building and bed setup, must be enabled in the EMR. Click here for EMR Occupancy Setup and here for EMR Room and Board Setup. Additionally, there must be an active CRM patient and active Treatment Opportunity. Click here for instructions on creating a Treatment Opportunity.

Selecting Beds

  1. To access any desired patient record, use the Global Search Feature and select the record from the search results.2025-01-17_11-25-00 (1).gif
  2. Access an existing Treatment Opportunity, or create one by clicking on the Add Treatment Opportunity button and fill in all required details.2025-01-17_11-31-21.png
  3. Navigate to the decision section of the Treatment Opportunity and select the Yes radio button under the Facility Accepts section.2022-12-08_10-49-06.png
  4. Fill in the following fields to retrieve a list of available beds for the desired timeframe:2024-04-11_15-56-21.png
    • Estimated Facility
    • Estimated Location
    • Estimated Admit Date
    • Estimated Discharge Date
  5. Important: The Select a Bed field is dynamic and will change as you input any of these fields to ensure you are not missing a step during the selection process. Be sure to click Refresh List after filling out all required fields on the decision table.2024-04-11_15-56-21.png
  6. Select the desired bed from the drop-down list. 2022-12-08_11-12-58.png
  7. Don't forget to select Save Changes.

Viewing Selected Bed

To view your selected bed, you can click on the Bed Board menu in the Treatment Opportunity section of the selected opportunity.

The bed selected is now tied to the treatment opportunity and will be present on the bed board as a CRM Planned Record

Accessing Bed Board

  1. Navigate to CRM > Admissions Management > Bed Board.2025-01-17_11-57-59.png
  2. Select a Facility from the drop-down list.2022-12-08_13-49-29.png
  3. Once a facility is selected, the beds present within the location will populate into the bed board.2022-12-08_13-51-59.png

  • Bed Board Breakdown: Based on the selected facility, this will represent the total number of beds, empty beds, and occupied beds and will dynamically change as you continue to filter the bed board.
  • Show Visible Toggle: When set to Yes, the bed board will only display data that is visible on screen to the user.
  • CRM Planned vs EMR Actual Toggle: This filter allows users to control whether they want to see CRM Planned reservations or EMR Actual Occupied beds. Click the undo icon to show all.
  • Locations: Select the desired location to analyze bed occupancy.
  • Buildings: Select the desired building present in your EMR to analyze bed occupancy.
  • Bed Board Search: Search the bed board by patient name, building name, room name, or bed name.
  • Home Icon: Selecting this icon returns the bed board to the current date.
  • Right Arrow: Selecting this icon allows you to view the next set of days.
  • Left Arrow: Selecting this icon displays the previous days.

Modifying Planned Records

Users can perform edits to CRM Planned records directly within the Bed Board.

    • Go to Opportunity: Selecting this option will navigate you to the Treatment Opportunity in a new tab.
    • Edit Bed Board: Selecting this option will allow you to view the associated insurance record tied to the treatment opportunity and edit it as needed.2024-04-11_16-04-44.png
  3. If any edits are made and be sure to click the Save Changes button. The changes will then be reflected in the bed board and decision area.

Sending Bed Placement to EMR

For instructions on sending a patient to the EMR, click here.

  1. First, enter the Admission Date located on the facesheet of the EMR to finalize Bed Placement.2022-12-08_14-30-01.png
  2. Then input the Anticipated Discharge Date for the bed board to reflect date availability.2022-12-08_14-30-01.png
  3. Next, select Create MR Number to finalize the admission at your facility.2022-12-08_14-30-01.png
  4. Select Update to save your changes to the EMR facesheet. 2022-12-09_10-09-28.png
  5. Bed placement in CRM will now convert to EMR Actual. This conversion indicates that the prospect is now a patient and is now linked to a bed.2022-12-12_09-26-22.png

The Anticipated Discharge Date and the Discharge Date feed into the CRM Bed Board. It is important to use the Anticipated Discharge Date and ONLY use the Discharge Date on the actual date of discharge for documentation and reporting purposes.
