Transportation Logs

Establishing a transportation log within the CRM is a straightforward procedure for efficiently scheduling and monitoring a client's arrival at the facility, complete with automated email notifications.

Requirements

The patient record must have a treatment opportunity record on file. The user must have one of the following security roles:

    • Admission Worker
    • Combined +
    • Combined (Admissions and B.D.)
    • Limited Admissions Worker
    • Restricted Admissions Worker
    • Super User

Important: If you are managed by a third-party biller, it is possible you will not see these roles available for your tenant. Please contact support for more assistance.

Using the Transportation Log Application

To create a transportation log in the system, follow the steps below.

  1. Utilize the global search bar to enter the name of the patient for whom you intend to create a transportation log. Once your search results appear, select your desired patient record.

  2. Using the left side panel, select Treatment Opportunities.

  3. Within the treatment opportunity section, select the treatment opportunity you want to create a transportation log for.

  4. Once you have opened the treatment Opportunity, on the left side panel, select Transportation.

  5. Select Add located on the top-right corner of the transportation area.
  6. The transportation log modal will appear, complete in the required fields, and complete as many details as possible.

    Important: Please be sure to fill in the following required fields to save the Transportation Log: method of travel, transferring, travel subsidy required, and traveling with a companion.
  7. Once you have completed filling in all desired information, proceed to select Save.
  8. Once saved, the Transportation Log will appear in the Transportation Records List tied to the Treatment Opportunity.

    Important: To ensure a transportation log appears on the travel board, the Facility Accepts toggle must be set to “Yes,” and the Estimated Facility and Location fields must be completed. For more information on the travel board feature, please click here.

Distributing the Transportation Log

For guidance on how to email the transportation log to external recipients outside of the CRM, please refer to the steps below.

  1. Access your desired transportation log.
  2. Select Save & Email.
  3. The Email Distribution modal will appear. Using the Search for Facility Contact field, select your desired facility contact (Multiple recipients can be added).

  4. Alternatively, you can create your desired recipient by inputting their Name and Email Address.
  5. Select the Add icon to add them to the distribution list.
  6. Once you have added all desired recipients, proceed to select Send Email.
  7. Once you have triggered the email to be sent, the system will record this information via the email log section of the transportation log.
  8. Select View to see a preview of the email that was sent.
  9. A preview will appear.
  10. The recipients will receive an email containing the key details of the transportation log.
