Travel Board

The Travel Board is the central hub for managing patient transportation details in the Kipu CRM and serves as the go-to resource for current and historical travel information. The quick-action tools and focus panel are intended to simplify the review patient review process. 

Requirements

  • The user must have one of the following security roles:
    • External 3rd Party VOB Worker
    • Admission Worker
    • Marketing Only for 3rd Party Marketing Setup (With Reports)
    • Auditor - Read Only
    • Combined +
    • Combined (Admissions and B.D.)
    • Super User
    • Limited Admissions Worker
    • VOB Worker
    • Restricted Admissions Worker
    • Alumni/Aftercare Worker
    • Patient records must have a treatment opportunity record on file

Important
If you are managed by a third-party biller, you may not see these roles available for your tenant. Please contact support for more assistance.

Before You Begin

The Transportation Log must be completed before travel details appear on the Travel Board. Additionally, the Facility Decision field must be set to Yes, and the Estimated Facility and Estimated Location fields must be filled out. Once these criteria are met, the Transportation Log will be visible on the Travel Board. For guidance on creating a Transportation Log, click here.

Functionality

The Travel Board showcases current and past Travel Logs by default. This functionality allows users to access crucial details for each patient, including their treatment schedule and information from the patient profile.

Follow the steps below to navigate to the Travel Board.

  1. From the CRM landing page, click CRM > Admission Management > Travel Board.2025-01-15_13-46-44.png
  2. A complete list of the data points displayed in the Travel Board is included below.
    • Facility Name
    • Planned Location (aka Estimated Location)
    • Patient Name
    • Patient Phone
    • Admission Date (aka Estimated Admit Date)
    • Departure Date
    • Departure Time Zone
    • Arrival Date
    • Arrival Time Zone
    • Facility Arrival Date
    • Facility Arrival Time Zone
    • Method of Travel
    • Travel to the Facility Via
    • Travel Companion
    • Travel Companion Phone
    • Patient Care Coordinator
    • Referral Source
    • RS Contact First Name
    • RS Contact Last Name
    • Referred Through Type
    • Travel Details
    • Notes

Quick Actions

When a user right-clicks anywhere on the grid, they will see the following options:

  • Open Patient Profile: When selected, the user will be taken to the patient record tied to the Transportation Log. 
  • Edit Transportation Log: When selected, the Transportation Log modal will appear and the user can modify any existing information
  • Edit Treatment Opportunity: When selected, the Edit Treatment Opportunity modal will open and the user can modify any existing information.
