Requirements
The user must have one of the following security roles:

- External 3rd Party VOB Worker
- Admission Worker
- Marketing Only for 3rd Party Marketing Setup (With Reports)
- Auditor - Read Only
- Combined +
- Combined (Admissions and B.D.)
- Super User
- Limited Admissions Worker
- VOB Worker
- Restricted Admissions Worker
- Alumni/Aftercare Worker
Important
If you are managed by a third-party biller, it is possible you will not see these roles available for your tenant. Please contact support for more assistance.
Locating the Prospect/Patient Records Grid
For guidance on how to locate the Prospect/Patient Records grid, please take a look at the steps below.
- Select CRM > Admissions Management > Prospect/Patient Records from the CRM Landing Page Dashboard.
Note
Alternatively, users can select the Records widget on the dashboard to quickly access this area of the system.
Functionality
The Prospect/Patients Record Grid serves as the central repository for all patient records in your CRM tenant. By default, it displays active patient records, but users have the flexibility to adjust the settings to view archived patients. This feature enables users to efficiently reference essential information for each patient, such as their current record status and details of the latest communication interaction.
Filter Flow Breakdown
- The Prospect/Patient Records grid allows users to easily filter patient records based on their current status. For instance, choosing the "Discharged" flow option will display records currently classified as Discharged, determined by the presence of a discharge date and time on their most recent treatment opportunity.

Toggle Breakdown
- When the Prospect/Patient Records Grid is toggled to Viewing Active, it will display all active and unarchived patient records in your CRM tenant.
- When the Prospect/Patient Records Grid is toggled to Viewing Archived, it will display all inactive and archived patient records in your CRM tenant.
Focus Panel Breakdown
Upon selecting a record present on the Prospect/Patient Records grid, the system will present the user with a focus panel showcasing key information relative to the patient. Additionally, the focus panel offers quick action capabilities to streamline workflows within the CRM.
